Businesses that deploy the Fujitsu ScanSnap N1800 network scanner will soon be able to implement the “Scan-to-Process” concept with even greater ease in order to integrate paper documents directly into their digital business processes. Documentrecognition and data capture specialist ABBYY Europe is developing, and will shortly introduce, a connector to the Fujitsu network scanner that enables companies to incorporate business documents flexibly into business processes – even across departmental lines. Connecting network scanners to ABBYY’s FlexiCapture enterprise capture platform provides the technical basis for the solutions prototypes that allow users to scan invoices directly into the AP workflow and HR documents into the HR absence or leave process. ABBYY will be presenting the two applications in conjunction with the ScanSnap N1800 in Hall 3, Stand F16 at CeBIT in Hanover.

Two solutions – one concept

Sensitive records like invoices and personnel documents are protected by a simple authorisation system so that they remain confidential and can be only viewed by users that have sufficient access rights. For example, an employee in the finance department can scan invoices directly into the appropriate workflow, whilst the personnel department can integrate employee files automatically into relevant HR processes or even send contracts directly to the legal department.

Simple business processes

The new applications are simple to master. The user simply selects a business process or department on the touchscreen of the scanning device, directly triggering the processing of a scanned document, sends it to ABBYY FlexiCapture, and the enterprise capture software will extract all relevant metadata and process the document in accordance with the workflow selected. This allows organisations to start processing invoices or personnel files directly from the Fujitsu network scanner. After successful processing, the documents and meta data will be transferred to downstream systems such as ERP or HR systems.

Archiving and compliance

The solutions aid in filing scanned documents in searchable formats. They also aid in preparing them for archiving, parallel to any business processes that have already been triggered. Another advantage is clearly defined metadata which enables employees to locate and check documents and passages at anytime. This is not only critical in meeting compliance guidelines, but also in making business processes more transparent and efficient.
