Overview of Fujitsu Business Continuity Measures for COVID-19

Business continuity planning measures

To assist in our continued ability to provide support services to our customers, all Fujitsu Oceania locations, including our Global Delivery locations, have been implementing Business Continuity measures when required. These tested systems and processes allow for extended use of remote working by our personnel who can work remotely whilst protecting those personnel who must work on a site and allows Fujitsu to maintain service delivery levels for our customers.

Measures to protect our workforce and prevent the spread of the virus

As a responsible employer and company, Fujitsu implemented steps to seek to protect its personnel from being exposed to the coronavirus. These preventive measures aim to reduce exposure and lower the risk of virus transition in the workplace. These measures include:

  • Education – highlighting COVID Safe procedures including hygiene measures that Fujitsu personnel can take to help prevent the spread of the virus with emphasis on physical distancing and respiratory and hand hygiene etiquette.
  • Implementing extra cleaning regimes in highly-populated office areas and providing hand sanitisers and wipes at all Fujitsu locations.
  • All business related international travel is suspended until further notice and domestic travel is minimised to business critical only and in accordance with relevant government restrictions.
  • Expanding remote working capacity and capability. In the interests of caring for our employees and also mitigating any risks to service delivery by reducing the spread of the virus, all personnel who can perform their roles remotely can do so in consultation with their manager.
  • Prioritising the use of conferencing technologies to address communications needs.
  • Implementation of controlled return to work measures, where appropriate, which are designed to meet relevant government advice.
  • Implementing appropriate applications and measures to limit site access to enable physical distancing and support contact tracing where required including the use of QR check in codes.

Specific considerations for data centres

We have taken additional measures aimed at maintaining continuity of services and to protect, so far as reasonably practicable, the safety of customer’s personnel and Fujitsu staff at our data centres, including increased core building cleaning, best practice hygiene measures, access restrictions, temperature checking, use of government QR Codes to check in, cross training of staff across sites, and rescheduling of non-essential activities.

Supply chain considerations

Our Business Continuity Planning includes our global supply chain and we are ready to implement contingency plans where issues with our supply chain caused by the virus impact upon our operations.

As you may expect, we have experienced delays in areas related to sourcing of components from our suppliers. Our supply chain team has been working hard to mitigate these challenges and provide further clarity on product availability and lead times.

Our supply chain team is working with our suppliers to identify future supply issues and put mitigations in place to minimise impact on our services to our customers. Fujitsu is monitoring its hardware stock on hand and distribution daily, and where appropriate has increased stock on hand to meet extended lead times.

Our business under COVID-19 has evolved and Fujitsu has progressed initiatives in several areas. As part of our supply chain mitigation strategy, measures have been taken to provide for a more responsive engagement of suppliers and improved management of supply lead times to allow for fast tracking of urgent goods and services.

Fujitsu has put measures in place and will continue to support our small / medium and Indigenous suppliers throughout this challenging period. To further support our suppliers, we have processes in place to expedite for urgent payments and reduce the time to payment for smaller businesses.

Special considerations for the use of shared equipment

When utilising shared equipment, such as scanners, forklifts and other logistics equipment, personnel have been advised to follow the advice around hand cleaning and personal hygiene measures prior to and after usage. Managers of areas with such equipment are tasked to ensure that regular cleaning of that equipment occurs. Agile practices of desk sharing have been suspended to minimise cross contamination. Until further notice, we have also discontinued the practice of obtaining customer sign-off on engineers’ phones to minimise the transfer of any infection.

Monitoring and response

We have implemented a local working group for the Oceania Region to continue to monitor the situation arising from the virus and are following the guidelines of the relevant health authorities. Should the situation escalate further, then Fujitsu is prepared to implement additional business continuity measures as appropriate.

We will continue to follow control and response advice from the relevant National, State or Territory Health Authorities in the event a case of the virus is suspected or confirmed at a Fujitsu workplace or by an employee working with our customers. In the event of self-isolation or building quarantine, including by directive from the relevant health authority, Fujitsu BCP and technology allows for working from home for most business activities. Alternatives will be implemented for scenarios where remote working is not practical.
