When scanning batches of documents, pay attention to good preparation of the batch. Good preparation can help maintain optimum image quality with good feeding and high throughput of images. It can avoid poor image quality, jams, multi-feeds and accidental damage to the product.
Correct Preparation of a batch should include:
- Removal of all staples.
- Removal of all paper clips.
- Removal of post-it notes.
- Flatten corners of documents where staples and folding have caused heavy creasing and damage to corners of the document (sometimes referred to as “Dog’s ears”).
- Wherever possible, try grouping documents of the same type/size together into a batch.
- Where using mixed batches of different document types/sizes, remember that alignment of the leading edge of each document is key.
- Shuffle the batch with both hands to allow air to circulate between each sheet, then tap the edge of the batch on a desk or flat surface several times. This helps shake out dust, paper shards and other foreign objects and prevents them from getting inside the scanner and potentially causing damage. Using gravity, it also helps align the edges of each document in the batch for more accurate feeding. The edge that is going to be fed first into the scanner should be the edge that is tapped on the desk or flat surface.
- If you have documents in the batch which are in poor condition (e.g. heavily creased, heavily “dog-eared”, torn or jagged edges) consider rotating the orientation of that document in the batch so that its best edge is fed into the scanner first.
- If scanning chemically treated papers (such as carbonless papers – sometimes referred to as “NCR paper” as it was originally developed by the NCR Corporation) extra care should be taken. If possible, try to batch all carbonless papers together and clean the scanner thoroughly after completing batch scanning with carbonless papers. Pay particular attention to the rubber areas such as consumables.
- The final step for preparing for batch scanning should be setting up of the Ultrasonic Multi-feed detection. When configured correctly (according to your type of documents), this will detect when a multi-feed occurs and the scanners behaviour when a multi-feed is detected. (e.g. ignored or passed to QC). These settings can be configured using the included “Software Operation Panel” software, via the operator panel controls (production scanners) or through your scanning application (e.g. PaperStream Capture) providing your application supports such functions.
